Office Administrator – Sales & Project Support

Location: Shrewsbury, MA

About the Role

We are seeking a highly organized and adaptable Office Administrator to provide essential support to our sales and project management teams. This role combines strong administrative skills with light fieldwork, assisting with project details, client interactions, and coordination between departments.

Key Responsibilities

  • Provide day-to-day administrative support to the sales and project management teams, including scheduling, document preparation, and data entry.
  • Manage and maintain accurate project files, tracking timelines, budgets, and client communications.
  • Visit client sites approximately 20% of the time (company vehicle or mileage reimbursement provided) to take simple field measurements or discuss design options.
  • Serve as a point of contact for clients, providing excellent customer service both in person and over the phone.
  • Coordinate with vendors, contractors, and internal teams to ensure project requirements are met.
  • Jump into different systems quickly, learning software tools and processes to support project workflows.

Qualifications

  • Strong organizational and time-management skills with the ability to handle multiple priorities.
  • Prior administrative experience, preferably in a construction, manufacturing, or project-based environment.
  • Comfortable with light fieldwork, including taking basic measurements and delivering materials.
  • Excellent communication and interpersonal skills with a customer service mindset.
  • Proficient with Microsoft Office Suite and able to learn new systems quickly.
  • Valid driver’s license required.
